How to Apply for GST Registration Online: Step-by-Step Guide
The full REG-01 process, from the Part A temporary reference number to the GSTIN in your inbox — with the documents you need ready, the three places applications get stuck, and what to do if yours is rejected.
GST registration is a single online form, REG-01, filled in two sittings. The process itself is straightforward. What makes applications drag on for weeks is almost always the same three things: a document that does not match the address claimed, Aadhaar authentication that fails, and a query raised in REG-03 that nobody answers in time.
This is the whole sequence, with those three traps marked.
Before you start: get the documents together
Part B expires if you take more than fifteen days over it, so assemble everything first.
For every type of applicant:
- PAN of the business or of the proprietor
- Aadhaar of the proprietor, partners, or directors and the authorised signatory
- photograph of the proprietor, partners or directors
- proof of the principal place of business
- bank account details — optional at application, but easier to supply now
- a mobile number and email address you control, for OTPs
Proof of place of business, which is where most rejections start:
| Premises | What to upload |
|---|---|
| Owned | Latest electricity bill, municipal khata, or property tax receipt |
| Rented | Rent agreement plus the owner's latest electricity bill |
| Rent-free / family premises | Consent letter (NOC) from the owner plus their electricity bill |
| Shared or co-working | Agreement with the operator plus their utility bill and NOC |
By constitution:
- Partnership firm — partnership deed, and the partners' PAN and Aadhaar
- LLP — certificate of incorporation, LLP agreement, designated partners' KYC
- Company — certificate of incorporation, MOA and AOA, board resolution authorising the signatory, directors' KYC
- Trust / society / Section 8 company — registration certificate and the trust deed or bye-laws
The single most common cause of a REG-03 query is an address on the utility bill that does not read exactly like the address you typed into the form. Flat numbers, floor descriptions, building names and PIN codes all have to agree. Copy the address off the bill rather than writing it from memory.
Part A: get your TRN
- Go to the GST portal and choose Services → Registration → New Registration.
- Select Taxpayer (or the right category — casual taxable person, non-resident, TDS deductor, and so on), then your state and district. State matters: GST registration is state-wise, and a separate registration is needed for each state you have a place of business in.
- Enter the legal name exactly as it appears on the PAN. The portal validates this against the income tax database and will not proceed if it differs by so much as a middle initial.
- Enter PAN, email and mobile. Verify both with the OTPs.
- You receive a Temporary Reference Number (TRN). It is valid for fifteen days.
Part B: the application itself
Log back in under New Registration → Temporary Reference Number, enter the TRN and the OTP, and work through the tabs.
- Business details — trade name, constitution, date of commencement, the date you became liable to register, and the reason for registering.
- Promoter / partner details — up to ten, with KYC and photographs. Mark which of them is the authorised signatory, if applicable.
- Authorised signatory — the person who will sign returns. Their Aadhaar-linked mobile is what OTPs will go to for years, so use the right person's, not your consultant's.
- Authorised representative — optional.
- Principal place of business — address, nature of possession, and the proof document.
- Additional places of business — every godown, branch or warehouse in that state.
- Goods and services — the HSN codes for goods and SAC codes for services you deal in. Up to five of each is enough; be accurate rather than exhaustive, because this feeds the risk profile of your application.
- Bank accounts — optional now, amendable later.
- State-specific information — professional tax and shop-and-establishment numbers where applicable.
- Aadhaar authentication — opt in. See the next section on why.
- Verification — tick the declaration and submit with DSC (mandatory for companies and LLPs) or EVC/e-sign (available to others).
You get an Application Reference Number (ARN) by email and SMS. Track it under Services → Track Application Status.
Aadhaar authentication: opt in
When you submit, an authentication link goes to the Aadhaar-linked mobile and email of the promoters and the authorised signatory.
- Authentication succeeds — the application takes the fast path, and registration is normally granted within about seven working days if no query is raised.
- Authentication fails or is not opted for — the application is flagged for physical verification of the premises, the officer gets a longer statutory window, and the process typically stretches to several weeks.
Opt in, and complete the link the day it arrives. This is the cheapest single thing you can do to speed up the application.
What if the officer raises a query?
You receive a notice in REG-03 seeking clarification, documents or information. You must reply in REG-04 within seven working days of the notice.
What the queries usually are, and the reply that resolves them:
- address proof mismatch — upload the utility bill again with a short covering note mapping each line of the form's address to the bill, and add a photograph of the premises with signage visible;
- unclear nature of possession — supply the rent agreement and the owner's NOC together, signed and dated;
- business activity doubted — attach purchase orders, a supplier invoice, a website printout, or an agreement showing the business is real;
- documents illegible — rescan at a readable resolution; phone photographs of a screen are a common cause.
If the reply satisfies the officer, registration is granted in REG-06 with your GSTIN. If not, or if you do not reply in time, the application is rejected in REG-05.
What if the application is rejected?
A rejection is not the end, but take the reason seriously before re-applying.
- Read REG-05 and identify the exact ground. Re-applying with the same defect produces the same rejection.
- Fix the underlying document — get a properly executed rent agreement, a current utility bill, a consent letter from the actual owner.
- Apply afresh. There is no appeal mechanism designed for a rejected registration application in the way there is for an assessment, and a fresh, clean application is usually faster than contesting the rejection.
- Where the rejection is plainly wrong and the business has been prejudiced, an appeal under Section 107 or a representation to the jurisdictional officer is available — but it is slower than fixing the paperwork.
After the GSTIN arrives
Registration is the start of an obligation, not the end of one.
- Display the registration certificate at every place of business, and the GSTIN on the signboard.
- Issue tax invoices carrying all the particulars Rule 46 requires.
- File returns from the first period, including nil returns. Non-filing is the leading cause of registrations being cancelled — see our post on GST cancellation and revocation.
- Reconcile GSTR-2B monthly, because input tax credit now depends on your suppliers filing. The conditions are set out in our post on Section 16.
- Amend promptly in REG-14 when the address, signatory or business details change.

Frequently asked questions
How many days does GST registration take?
Where Aadhaar authentication succeeds and no query is raised, registration is normally granted within about seven working days of the application. Where authentication fails or is not opted for, or the officer selects the case for physical verification of premises, the timeline is longer and the rules provide a correspondingly extended period for the officer to act.
Can I apply for GST registration without a business bank account?
Yes. Bank account details are not required to submit the application; you can register and then furnish the account particulars afterwards by filing an amendment within the period allowed. What you cannot skip is proof of the principal place of business.
Do I need GST registration if my turnover is below the threshold?
Not merely on turnover grounds, but several categories must register regardless of turnover — including anyone making inter-state taxable supplies of goods, persons liable under reverse charge, e-commerce operators and those supplying through them, casual and non-resident taxable persons, and agents. Voluntary registration is also open to you and makes sense where your customers need input tax credit.
What is a TRN and how long does it last?
The Temporary Reference Number is issued when Part A is validated, and it is what you use to log back in and complete Part B. It is valid for fifteen days, after which the saved application lapses and you start again — which is why gathering documents before you begin is worth the effort.
A note on accuracy. This post reflects the law as we understood it on 13 Oct 2026. Indian tax and corporate law changes often, and nothing here is advice for your specific case — check the current position, or ask us, before you act on it.
