NBFC Loan Management Software: What to Look For

How to choose loan management software for an NBFC: origination, EMI and collections, SMA/NPA tagging, credit bureau reporting, KFS and the reports RBI expects.

For a non-banking financial company, the loan management system is where the business actually happens: every application, disbursement, EMI, overdue and closure passes through it, and so does most of the regulatory reporting. Choosing it is a compliance decision as much as a technology one. This guide sets out what the software must do, what to test before buying, and where NBFCs most often get caught out.

1. The loan life-cycle, end to end

  • Origination: application capture, KYC, document collection and a configurable approval workflow with delegation limits.
  • Sanction and documentation: sanction letter, loan agreement and the Key Fact Statement generated from the same data.
  • Disbursement: full or tranche disbursement, with deductions such as processing fees and insurance shown transparently.
  • Repayment schedules: EMI, step-up, bullet and structured schedules, with correct interest calculation and handling of part-prepayment.
  • Collections: receipts across channels, auto-debit mandates, allocation of payments between charges, interest and principal, and field collection support.
  • Closure: foreclosure statements, closure letters and the release of security documents.

2. Regulatory work the system must carry

Much of an NBFC's compliance is a by-product of correct loan data. The software should produce it rather than leave it to spreadsheets.

  • Asset classification: day-end tagging of overdue accounts as SMA-0, SMA-1, SMA-2 and NPA, and upgrading an NPA only when all arrears of interest and principal are cleared.
  • Provisioning: provisions computed from the classification, so the books and the loan system agree.
  • Credit bureau reporting: borrower and account data in the format the credit information companies require, at the frequency RBI prescribes.
  • Key Fact Statement: a KFS with the all-in cost of the loan for retail and MSME borrowers, generated before the loan is executed.
  • Regulatory returns: the data behind the returns your NBFC files with RBI, available as reports rather than reconstructed each time.
  • Fair practices: transparent charges, notices before changes, and records of communication with the borrower.

Ask every vendor to demonstrate SMA/NPA tagging on a test loan that goes overdue, is partly paid, and is then fully regularised. Many systems get the first step right and the upgrade wrong.

3. Accounting and integration

  • Automatic accounting entries for disbursement, interest accrual, receipts, charges and write-offs, or a clean export to your accounting software.
  • Bank and payment-gateway reconciliation for collections.
  • TDS and GST treatment of fees and charges handled consistently.
  • APIs or exports for co-lending partners, investors and auditors.

4. Controls, security and data

  • Role-based access, maker-checker approval on sensitive actions, and a full audit trail of who changed what.
  • Backups, disaster recovery and data hosted in India.
  • Clear data ownership: you can export all your data at any time, in a usable format.
  • A vendor who will support your auditors and an RBI inspection with explanations, not just screenshots.

5. Questions to ask before you sign

  1. Show us SMA and NPA tagging and the upgrade rule on a test loan.
  2. Generate a credit bureau file and a Key Fact Statement from sample data.
  3. How are interest, penal charges and part-prepayments calculated, and can we see the formula?
  4. How long does migration take, and how do you verify the migrated balances?
  5. What does support look like at month-end and during audit?
  6. What does it cost as the loan book grows: per loan, per user or flat?

Where Fastlegal fits

Fastlegal builds Lenviq, loan management software for NBFCs and lenders that covers origination, disbursement, EMI schedules, collections and compliance reporting in one system. Our compliance team also handles the corporate side NBFCs carry: ROC filings, audits and income tax. You can see Lenviq at lenviq.in, or ask us for a walkthrough against the checklist above.

Frequently asked questions

Can a small NBFC run on spreadsheets?↓

For a handful of loans, briefly. As the book grows, spreadsheets make day-end overdue tagging, credit bureau files and regulatory returns slow and error-prone, and an auditor or RBI inspection will ask how the numbers were produced. Most NBFCs move to a loan management system well before a few hundred active loans.

What is the most important feature to check?↓

That asset classification is automatic and system-driven: overdue loans tagged as SMA and NPA on a day-end basis, with upgrades only when all arrears are cleared. Errors here flow into provisioning, the balance sheet and your returns.

Should the software produce the credit bureau file?↓

Yes. NBFCs report borrower data to the credit information companies at the frequency RBI prescribes. Generating that file from the loan system avoids re-keying and the rejections that come with it.

Is cloud software acceptable for an NBFC?↓

Yes, provided it meets RBI's expectations on IT governance, data security and outsourcing: access controls, audit trails, backups, and data stored in India. Ask the vendor how they meet them.
